Vocalo Inc. DBA Terret's Privacy Policy explains that they collect customer activity data from third-party services via secure OAUTH authentication, personal information necessary for service use, and recordings from outbound calls, all handled with strict confidentiality and user consent to protect privacy while enabling business-related functions through their website services.

Vocalo Inc. DBA Terret takes security very seriously and is committed to respecting and protecting your privacy. This privacy policy is intended to help you understand what data we collect, what we do with it, how we protect it, and what choices you have with regard to our collection of your data through your use of the services (the “Services”) offered by Vocalo Inc. DBA Terret through the Terret website (the “Site”). By using the Services, you consent to the collection, transfer, processing, storage, disclosure, and other uses described in this Privacy Policy.

This Privacy Policy supplements our End User Service Agreement ("EUSA"). The terms “Vocalo Inc. DBA Terret,” “we,” “us,” and “our” refer to Vocalo Inc. DBA Terret. The terms “you,” “your,” and “yours” refer to the user/customer using the Site.

What data do we collect?

We may collect the following categories of information for the purposes explained below:

  1. 1.Customer Activity Data – We collect and process activity data such as email, calendar, phone data, address book, customer relationship management ("CRM") data, etc., on behalf of the Customer, by allowing access to third party services such as GSuite, Outlook, Salesforce, Microsoft Dynamics, Hubspot CRM, etc. This data is collected for business-related use and is never disclosed to anyone other than the user and users specifically authorized by the Client. We do not receive or store your password for these third party services, relying solely on OAUTH authentication protocols and tokens.
  2. 2.Personal Information ("PI") – This includes any information which can be used to identify an individual, such as name and email address. Customer Activity Data may include Personal Information. We endeavor to limit our requests for Personal Information to what is reasonably necessary. You can choose not to provide certain information, but this may limit your use of the Site’s features.
  3. 3.Recordings – When you participate in an outbound recorded call, we collect the audio recording and the full transcript together with personal data such as names and email addresses. Through integration with Third Party Providers, we may make or obtain these recordings and generate transcripts and analytics from them. Metadata associated with the recording, such as names, contact information, dates, and time stamps, may also be collected.

How we use your data

We use the personal information we collect and receive to:

  • Provide the Service to Customers
  • Enable the Service’s tools and features
  • Study and analyze the functionality of the Service
  • Provide support
  • Measure Service activity for pricing purposes
  • Maintain and improve the Service
  • Continue developing the Service

We may use your email address to contact you when necessary, send reminders, and provide information and notices about the Service, including commercial and marketing information.

We may use your identifiable information to enforce our terms, policies, and legal agreements, comply with court orders and warrants, assist law enforcement agencies, collect debts, prevent fraud, misappropriation, infringements, identity thefts, and any other misuse of the Service, and to take action in legal disputes and proceedings.

We commit to process personal information solely for the purposes described in this policy and will make efforts to maintain the information accurate, complete, and up-to-date.

Terret’s use of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

Data sharing and disclosure

  • We provide customers with data analytics of emails, calendar activity, calls, and CRM data (“Customer Activity Data”) that their personnel have conducted with clients and prospects.
  • Customers are provided access to recordings for a limited period and may share access internally and with relevant third parties.
  • We do not sell, rent, or lease your personally identifiable information.
  • We may share your identifiable information with service providers and other third parties if necessary to fulfill the purposes for collecting the information, provided they commit to protect your privacy as required by law and this policy.
  • We may share information with companies or organizations connected or affiliated with us, such as subsidiaries, sister-companies, and parent companies, provided their use complies with this policy.
  • In the event of a merger, acquisition, or structural change, your personal information may be transferred to another entity, provided the receiving entity complies with this policy.
  • We may share your customer activity data, including personal information, if required by law, including in countries outside your country of residence.
  • We share information, including Personal Information such as names and email addresses, with authorized employees and contractors to resolve support issues and improve service quality.

Aggregated and analytical information

  • We may use analytics tools, including Google Analytics and Amplitude, to understand user behavior on our sites and applications. These tools may use their own cookies.
  • We may use anonymous, statistical, or aggregated information for legitimate business purposes, including testing, development, control, dashboard user experience, and operation of the Service.
  • Other than call recordings (shared with specific transcription partners who comply with this policy and applicable law), we do not share such information with third parties unless required by law.

Removal of PI

If you would like to remove any of your PI stored by Vocalo Inc. DBA Terret, please contact us at support@terret.ai, so we may respond to your request in accordance with applicable law.

Third party sites

The Site allows you to link your email, calendar, phone, CRM, and other accounts ("Linked Account") from other sites and services ("Third Party Services"). We are not responsible for the privacy practices of such Third Party Services. We encourage you to read their privacy statements to understand how your information may be collected and used.

Cookies

Some pages on the Site may contain “cookies.” A cookie is a small data file sent to your web browser and stored on your computer. This allows our server to recognize you in the future and helps us analyze trends, track user movement, and gather demographic information. Most web browsers can be configured to not accept cookies or to notify you if a cookie is sent.

Your Choices

  • You can control your Customer Activity Data in various ways, such as enabling third party integrations, blacklisting certain data, managing permissions, retention, export settings, and controlling cookies.
  • Opting out of disclosing certain Customer Activity Data may limit the functionality of the Services.
  • You may unsubscribe from mailing lists, newsletters, or disable your account by sending an opt-out request to privacy@terret.ai.
  • We may store and continue using certain personal information related to you. For further information, see the Data Retention section.
  • If your personal information is included in content provided by one of our Customers, you may want to contact the Customer to request removal.
  • At any time, you may choose (opt out) whether your personal information is disclosed to a third party (other than agents acting on our behalf) or used for a materially different purpose. You may exercise your choice by contacting us at privacy@terret.ai.

Your California Privacy Rights

If you are a California resident, you may request in writing a list of the categories of personal information disclosed to third parties for their direct marketing purposes during the preceding year. To make such a request, contact us at privacy@terret.ai.

Accessing your personal information

You may contact us at privacy@terret.ai to request access to the identifiable information we keep about you. We will make good-faith efforts to locate the data you request.

If you find that the information we keep about you is not accurate, complete, or updated, please provide the necessary information to correct it.

You may obtain confirmation of whether we are processing personal data related to you, receive a copy of that data, request correction, amendment, or deletion if it is inaccurate or processed in violation of applicable law.

Response to requests

When you ask us to exercise your rights, we may need to ask for credentials to verify your identity and may redact personal information related to others.

Data Retention

We retain different types of information for different periods, depending on processing purposes, legitimate business purposes, and legal requirements.

  • We may keep personal information as long as necessary to support processing purposes and for additional legitimate business purposes (e.g., record keeping, cyber-security, legal proceedings, tax issues).
  • We may keep aggregated non-identifiable information without limitation and will delete or de-identify potentially identifiable information when no longer needed.
  • As long as you use the Service, we will keep information about you unless required by law to delete it or if we decide to remove it at our discretion.

Transfer of data outside of your territory

We may store and process information in various sites globally, including those operated by cloud-based service providers. If your jurisdiction requires consent for transfer, you provide express and unambiguous consent by using the Services.

We may transfer Customer Activity Data to countries other than where it was originally collected. If we transfer your information outside the country of collection, we will protect it as described in this Privacy Policy and ensure compliance with applicable laws.

Security

We apply technical, administrative, and organizational security measures to prevent accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access, especially where processing involves data transmission over a network.

Vocalo Inc. DBA Terret is undergoing a Service Organization Control 2 ("SOC") audit. The environment hosting our Services maintains multiple certifications, including SOC reports, PCI Certification, and ISO 27001 compliance. Children

Our Services are not intended for or directed to persons under the age of 13, and we will not knowingly collect information from such persons. Anyone providing information through registration or otherwise on the Site represents they are 13 years of age or older. If you believe we have mistakenly collected such information, notify us at security@terret.ai so we may immediately delete it.

Changes to this privacy notice

Changes to this Privacy Policy may be made from time to time and will be posted on this page. If material changes are made, we will provide notice on the Site or via email. Continued use of the Services after changes are in effect constitutes agreement to the revised Privacy Policy.
